a few weeks ago, we started testing googleapps (GAPS), wich we already were using for the selection, as a platform for writing and sharing/sending the texts we use.

it was intended as a first step towards a possible switch on to GAPS as a common working environment, making no difference wether you are in paris or abroad, a staff editor or a replacement.

GAPS allows users to create and share documents, mail messages, chat messages, calendars and lots of useful office applications.

GDOCS get NEVER lost and you can go back to the previous versions any moment; you can add comments[a] to the docs and it sends warnings when something new is shared/created. you can work on it exactly as a WORD doc, but without having to pay tribute to Steve Ballmer (Bill Gates got retired). and if you share the GDOC with your translator, you can comment it with him /her in real-time (this could be extended to all the translators working on a single article).

from the feedback we had received until now, it appears that:

1. there is some confusion about the articles’ status, due to the fact that, once it is put in the “working file”, everyone is getting a warning, but no information on the article’s status if you don’t check where it is

2. opening shared docs and sending them to translators takes more clicks than the current system

3. there are lots of unwanted sings coming up from googledocs (GDOCS) once pasted in the PE cms

4. not possible to recieve/send emails using the @presseurop.eu address from the google environment. we have to use gmail for work AND entourage/outlook for professional emails

5. gmails gives no history of emails sent / difficult to have a trace of what has been sent to whom

6. too many windows/tabs open at the same time (gdocs, doc, gmail)
